Office AI governance

A fill-in sheet a director can edit: who owns the list, which tools are approved, what each role may do, what never gets pasted, and whether learner-facing AI is allowed.

Most CME staff already use AI. Many offices still have no written rule. A page beats a binder that nobody opens on a Tuesday.

Who it is for

  • CME directors who have been meaning to write the AI rule down
  • Coordinators asked which account they are allowed to use
  • Anyone running the teaching kit who can also decide policy

What is inside

  • Named owner and last-reviewed date
  • Approved-tools table, including whether confidential CE files may go in
  • Staff, faculty, and learner rows
  • Never-paste list
  • Learner-facing AI: yes or no, with a named clinical overseer if yes

How to use it

  1. Sit with privacy or IT for the tools row. Do not guess which tenant is approved. One email settles the table.
  2. Name an owner. A list with no owner is not a list. Put a person, not a department.
  3. Default learner-facing AI to no. Unless you can validate, monitor, keep promotion out, and name a clinician who can stop it. That is the April 2026 alert in one line.
  4. Hand it to everyone who prompts. Keep it next to the disclosure log. Review the date when tools or ACCME wording change.
